Contact Management

The module allows you to view, add, edit, deactivate, delete, and manage users within your organization.


  1. Filters. Filter by Contact Type, Status, Role Name, and Authorized User.
  2. Contact Management List. Displays all your contacts along with their details:
    • Name
    • Organization Name
    • Email Address
    • Contact Type (Primary, Secondary, Onsite Member)
    • Roles
    • Status (Pending, Active, Inactive)
  3. Create New Button (explained in the next section)
  4. Search Bar. Search users by name or email.
  5. Three-Dot Menu Options for each contact:
    • Edit – Modify contact details
    • Delete – Remove the User
    • Resend – Resend the invitation email for pending users
    • Deactivate/Activate – Toggle user account status
    • Authorize User – Grant access to the client portal
    • Profile Details – View detailed user information
    • Note: If a user is inactive, the only action available in the three-dot menu is Activate.
  6. Client Roles
    • Client Admin 
      • The primary contact of the company.
      • Add members and set a role for each user under your organization
      • To add, edit, or delete users from the Connexus client Web App.
      • To configure and set some features/functions and privileges.
    • Property Manager
      • Has a limited set of privileges set by the Client Admin. 
      • Can access and view the Client Detail page by clicking the Client tab. All other permissions are disabled.
      • If the property manager does not have Admin permission, the contact and role management permissions are disabled.
      • When navigating to the Property List, Contracts, or RFPs, you will only see the properties they are associated with.
  7. Creating a New User
    • Click the Create button on the contact management list page.
    • Fill in the form fields with the necessary information. 
    • Once done, a confirmation email is sent to the user.
    • Status changes to Active once the user sets the password via the email link.
  8. Editing a User
    • Click the Edit icon in the contact management list.
      • Actions
      • Update: Saves changes to the record.
      • Cancel: Discards changes.
      • Authorize User: Sending this to “Yes” triggers an invitation email to the registered email address.
  9. Deleting a User
    • Click “Delete” in the three-dot menu.
    • A confirmation pop-up will appear:
    • Confirming deletion removes you from the system.
    • The same email can be reused to create a new user.
  10. Resending Invitation
    • Available only for users with Pending status.
    • Click Resend in the three-dot menu to send a new invitation email.
    • Previous links have expired, and the new link is active for 24 hours.
  11. Deactivating / Activating User
    • Deactivate: Available for Active users only.
    • Edit is disabled for deactivated accounts.


Assigning or Unassigning a Contact (Manager, Regional Manager, or Any Contact Type) to One or Multiple Properties


  1. Access the Contact List in the Client Dashboard
    • In the client detail page, click the Contacts tab. All contacts associated with that client will appear.
    • If the contact is not listed:
      • Go to the Contact Management module from the left menu.
      • Create a new contact there.
      • Return to the Client → Contacts tab.
  2. Open the Contact Assignment Options
    • Locate the contact you want to modify.
    • Click the three dots (⋮) on the right side of the contact row.
    • Select “Link to Specific Properties.”
  3. Select Property-Level Assignment
    • A pop-up window will appear:
    • Choose the Property Level option using the radio button.
    • This ensures the contact is linked to individual properties instead of the entire client.
  4. Assign or Unassign Properties
    • Click the Select Properties dropdown.
    • To assign properties, check the properties you want linked to the contact.
    • To unassign, simply uncheck any property you want removed from the contact.
  5. Save and Update Property Assignments
    • After making your selections, click Link.
    • The system will update the assignments and save the contact-to-property relationships.
    • Your contact is now successfully assigned or unassigned from the selected properties.
